Salary: PW10 Steps 2-4 $4,777.35 - $5,221.70  Longevity Steps 5-8 $5,460.67 - $6,251.99

The position includes a state retirement system, with a deferred comp program available. Health insurance package includes Medical, Dental, and county contributions to a personal health savings account. Includes up to 11 paid holidays and additional floating holidays per collective bargaining agreement. Along with monthly accrued vacation and sick leave. 

SUMMARY

This classification assists the prosecutor with a variety of legal technical activities and performs administrative and clerical work for child support enforcement cases on behalf of Chelan County and Douglas County in the Child Support Division of the Chelan County Prosecuting Attorney’s Office.  This position is full-time, 8:30 am - 5:00 pm daily, Monday – Friday, excluding holidays.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following are examples of duties and responsibilities that illustrate the general range of tasks required of this position, but are not intended to serve as a comprehensive list or to define the limits of required duties.  Other essential duties may be assigned consistent with the general scope of the position.

  • Prepares legal documents and correspondence such as summonses, petitions, complaints, motions, subpoenas, show cause orders, stipulations, Uniform Interstate Family Support Act documents, registration of foreign support orders, from draft or dictated text.  Manages office computer system and forms, and generates office case reports.
  • Performs intake and locate interviews for paternity and enforcement cases.  Schedules and tracks genetic testing of involved parties.
  • Performs intake of electronic referrals from the Washington State Division of Child Support.
  • Files original legal documents with the court.  Ensures proper indexing and filing of correspondence and legal documents in office records system.  Arranges for service of legal documents on involved parties.
  • Manages, schedules and coordinates the court calendars in Chelan County and Douglas County for PACSD cases.
  • Locate involved parties and their employment and/or property records when needed.
  • Responsible for monitoring the flow of the case, scheduling court hearings, and initiating other appropriate legal actions as directed by the prosecutor in a timely manner and in accordance with any applicable federal timelines and special needs depending on the status and nature of the case.
  • Performs a wide range of other general office clerical or secretarial tasks including: answering phones and providing information to callers, taking messages, greeting visitors, scheduling appointments, handling upset and difficult people, performing debt calculations for child support records, composing and typing routine correspondence, copying, faxing, scanning, filing, reading and routing incoming mail, processing outgoing mail, and inventorying and ordering office supplies when needed.
  • Uses a variety of computer software applications, including:
    • WordPerfect, Microsoft Word and Outlook
    • Adobe Acrobat
    • Eden Systems payroll and accounting software
    • Judicial Access Browsing System (JABS)
    • OnBase (courts electronic document management system)
    • Other applications and websites as needed
  • Assists prosecutor in preparation of the yearly state and county budgets.  Prepares and submits office payroll and expenditure vouchers through use of County’s Eden accounting software program.  Prepares and submits appropriate paperwork to the State for reimbursement of office expenditures.
  • Attends and participates in Washington Association of Prosecuting Attorneys (WAPA) and other State trainings and seminars to elevate skills and stay up-to-date with applicable changes in child support law and procedures.
  • Must be reliable and punctual in reporting for scheduled work; daily attendance is an essential function of the job.

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

  • Must be able to follow instructions, prioritize work, and accurately complete multiple tasks in a busy office environment with frequent deadline pressures.
  • Must be able to work unsupervised, stay on task, and complete assigned caseload work in timely manner.
  • Must use logic, common sense, and pay attention to detail. 
  • Essential to exercise discretion over sensitive and confidential information and materials handled and processed relating to cases and department’s business.
  • Excellent organizational and interpersonal competence in protocols of contacts with judges, attorneys, law enforcement, and the general public. 
  • A proven ability to establish and maintain effective working relationships with co-workers and other county staff.  Must be courteous, polite, a team player, and strive to set a positive example.
  • Excellent grammar, spelling, and keyboarding skills.
  • Effectively use and operate standard office equipment, computers, software programs, and databases.
  • Ability to learn and use new software programs as necessary.
  • Ability to read and comprehend legal documents, terms, correspondence, and memos. 
  • Communicate effectively and clearly both verbally and in writing.
  • Ability to effectively present information in one-on-one situations to the public and other employees of the organization.

LANGUAGE SKILLS

Ability to proficiently read and write English.  Ability to read and comprehend legal documents and instruments, correspondence, and memos.  Ability to use good customer service and telephone skills in stressful situations.
