Salary: PW06 Steps 2-4, hourly 30-40 hours per week - part time permanent position, Starting hourly wage $20.75 - $22.88
The Deputy Clerk serves as a primary point of contact for the Commissioners’ Office, providing customer service to the public and other departments. The Deputy Clerk performs a variety of general office duties, records management and provides general administrative support to the County Administrator and County Commissioners. The Deputy Clerk must have excellent customer service, communication and computer skills, ability to multi task and the ability to work independently.
Qualification
Must have knowledge of general office procedures. Establish and maintain advanced interpersonal and communication skills (both written and verbal) to maintain effective working relationships with internal and external contacts.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); two years of related college level training or work experience in an area related to work responsibilities or an equivalent combination of education and experience to provide the necessary skills, knowledge, and abilities to perform the work. Must be proficient in Microsoft Word, Excel, Publisher and Outlook.
MATHEMATICAL SKILLS
Must have understanding and ability to balance weekly payments through GovQA system. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
A valid Washington State driver’s license. Must currently be, or be able to become a Notary Public in the State of Washington.

Duties and Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Pay bills on a weekly basis using the Eden system as well as entering monthly payroll.
- Act as first point of contact for the public, as well as other County employees visiting the Commissioners’ Office, greeting them in a professional and courteous manner.
- Assist, direct, and screen public inquiries on the telephone and in person with visitors to the Commissioners’ Office. Assists in resolving complaints within the scope of information and authority and refers to others, as appropriate.
- Scan and index official documents using a computerized system, filing and maintaining both public and confidential documents.
- Coordinate the Countywide postage account.
- Monitors and maintains County Board assignments (Board book).
- Assist the Clerk of the Board/Public Records Coordinator with collecting documents to fulfill public records requests using GovQA, OnBase and other programs as necessary.
- Fill in for the Clerk of the Board in session by taking minutes during the Commissioners meetings.
- Assist on creating the weekly Commissioners’ agenda, collecting and dispersing agenda documents.
- Assists the full-time Deputy Clerk of the Board who serves as the Secretary to the Board of Equalization.
- Responsible for standardizing, monitoring and implementing records management and retention processes in accordance with State Auditor’s retention requirements.
- Assist in maintaining office inventory and coordinating purchases of office supplies.
- Track and monitor expenditures using Excel spreadsheets
- Responsible for coordinating, scheduling and communicating with appropriate individuals for access to the commissioner meeting rooms.
- Provide administrative support to Board of County Commissioners, including assisting with correspondence and arranging travel plans.
- Provide administrative support to the County Administrator, including filing, creating packets and notebooks for various activities including labor negotiations.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
