SUMMARY

This position in the Recording and Licensing Department processes vehicle transactions and records real estate documents in the public record. Typical vehicle transactions include title transfers and annual registration/tab renewals, while recording duties include acceptance, imaging, cataloguing, research, and retrieval of recorded documents. Marriage licenses are also issued.

ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following. Other duties may be assigned.

  • Must possess exceptional customer service skills.  Must be able to communicate effectively in person, over the phone, and in written correspondence.  
  • Daily transactions for both functions must be processed with a high degree of accuracy
  • Computer competency is essential.
  • Organizational skills are a must. Must be able to effectively complete multiple tasks in a timely manner.
  • Must type a minimum of 45 WPM with a high degree of accuracy.
  • Must acquire a working knowledge of applicable RCWs, WACS, DOL and DOR rules and regulations.
  • Record submitted documents according to statutory specifications
  • Perform data entry, strictly adhering to written procedures.
  • Collect and verify transaction fees. Balance receipts against system reports.
  • Create data extracts, run/create reports and distribute data subsets
  • Research previous records and titles for real estate or vehicle transactions
  • Issue marriage licenses according to procedures and statutes.

EDUCATION AND EXPERIENCE

High school diploma or general education degree (GED); 2 years of clerical experience, including extensive public contact and money handling proficiency; or equivalent combination of education and experience. 

LANGUAGE SKILLS

Ability to read and comprehend general correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Must be able to communicate effectively in person, over the phone, and in written correspondence.  

Bilingual/Spanish is a plus.

Organizational skills and attention to detail are of upmost importance, as is the ability to work with minimal supervision. Proficiency with standard office software is required.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate and percentages.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
